How to Activate Gift Cards
Steps on how to activate a Gift card for clients
- Open a new ticket in any employee's schedule

Account
- If the client has been in before, find their account
- If they haven't, click "add new client" on the bottom left
- Get their First and Last Name, Phone number, Email
- Click Save on the bottom right
- Look to the left of the ticket total for the two “Gift Card” buttons
- Click the one next to "Purchase"
- Grab a gift card from the box—any will do
- Enter the 6-digit ID on Daysmart
- Type in the amount they want and hit "Okay"
- Click terminal
- Close out the ticket like usual
- You're Done!
How to Close the Cash Drawer
Steps on how to close the day for the Cash Register
- At the top of the screen on Daysmart click "Cash"
- Click "Close Out and Cash Drawer Balances"
- After you enter your code check the yellow square is on the day you're closing out
- Click "Okay"
- Click "No" (You will pretty much never click Yes here)
- Click "OK"
- Set the Employee to you as your Closing Out.
- Count each bill by HOW MANY of that bill we have.
- If you're under or over you may not have opened the drawer for the day, and you didn't realize that cash is different from the night before.
- If this happens I want you to please Text me so I can help you get it figured out.
- Click "Save"
- You're Done!
How to Open the Cash Drawer
Steps on how to Open the day for the Cash Register
- At the top of the screen on Daysmart click "Cash"
- Click "View Cash Drawer Balances"
- Enter your PIN/Code
- After you put your code in, look to the very left middle of the screen
- Click "Open the Day"

Cound the cash in the drawer by total amount combined
- Usually, there will be $65, if there isnt, no big deal (ranges from $50 - $70 are fine aswell)
- After you total it, make sure the check box is NOT checked on the little pop-up
- Click "Ok"
- Now your good to go back to the appointment book by clicking the button labeled "Apt Book" at the top left of the screen
- Your Done!
How to Find and Merge Duplicate Clients
Steps on how to Find and Merge Duplicate Clients
Finding Duplicates
- Go to the Daysmart wesite on google, or click this link here
- Wait for the screen to open and load completely
- On the far left of the screen, Click the button that has 2 figures next to eachother
- Daysmart will take a second to load, but then a screen titled "Suspected Duplicate Clients" will open, this is where you want to be!
- In the popup screen youll see names, when you click on them, it will list who it thinks is a potential duplicate, and ask for you to either merge them or ignore them
- What do I look for to know if they are a duplicate?
- Do their Names Match
- First name can be shortened on one profile and fully spelled on another
- Last Names Must Match, if not DO NOT MERGE until you know they changed their name, which we typically dont ask, however you can dive deeper by looking into their profiles for a Guest Intake Form (If they filled one out previously)
- Parents may make accounts for kids, double check their accounts are either for their kids, or if it is a genuine duplicate account
- Do their Phone Numbers Match
- Off by 1 digit? may not be the person, double check profiles on daysmart if they are just entered wrong, or if they seem to be a different person
- One Number has less digits than the other, but the one that has less still matches the 10 digits from the other account? They may be a duplicate
- Do their Emails Match
- Emails Must Match exactly, if not dont risk merging 2 different clients accounts due to history, Merging CAN NOT be undone
Merging Duplicates
- Go to the desktop version of DaySmart, not the website version which you were just on looking for the duplicate clients
- Once on the DaySmart screen, press the following keys "Ctrl + M" on the keyboard to open the merge screen
- Enter your PIN
- On the pop up screen, look to the upper right corner of it, and youll see 2 buttons labeled Select Client "A" and "B"
- Click Select Client "A"
- Search up the client with the search by Name, or Number
- Double Click the client when you find them
- Repeat steps 4 - 7 for Client B
- Now both clients will be on the screen, you may see red if client info needs checked
- Scroll through the client information and choose the correct info
- Client ID - Always use the lower number, it can represent how long ago they were added into the system
- Name
- Number
- Email
- Primary Contact (99.99% of the time its True)
- Once you see no more red bars, your good to merge!
- Click "Merge" on the bottom right of the pop up screen
- Enter your PIN
- Once it goes through and shows a sucessfull merge, click "Okay"
- You're Done!
How to BackBar a Product
Steps on how to Back Bar a Product
- Make sure you have the product you want to back bar, and what Stylist its for
- On the Appointment Book screen, Double-Click any time slot on that stylists schedule.
- After you enter your PIN, look at the Bottom Left of the pop-up screen
- Click "Back Bar Client"
- Grab the barcode scanner thats on the left side of the computer (IRL)
- Scan the barcode on the product/s
- Once all, or just the one product is scanned, click "Check out/Close"
- Your done!
How to Update Retail Inventory Count - Not Done
Steps on how to Update Retail Inventory Count
- On the main Appointment Book Screen, look at the very top of the app, and there will be a list of other sections
- Look for the one labeled "Products & Services
- On the menu that pops up, go near the bottom of it and select "Update Inventory with Barcode Scanner"
- Enter your PIN
- IRL, grab a product, and scan it using the barcode scanner (It's to the left of the computers screen)
- IF, a product is not already in the system, the computer will yell at you, click "Here""here" to see how to add a new product in correctly
- Enter how many of that product you have
- Repeat Step 5 and 6 until all items are scanned and updated
- Once all items are added and appropriately scanned,
How to Add a new product into Daysmart - Not Done
Steps on how to Add a New Product into Daysmart
- On the main Appointment Book Screen, look at the very top of the app, and there will be a list of other sections
- Look for the one labeled "Products & Services
- On the menu that pops up, go near the bottom of it and select "Edit Products"
- Enter your PIN
- On th far left of the screen, click Add Product
- Enter your PIN
- Grab the item that is New and not in the system yet, and scan the barcode with the barcode scanner
- Then, following that, right below in the descriptino secion, put the name of the item, examples below
- Goldilocks Hydrating Shampoo -> Hydrating Shampoo
- Brazilian Blowout Ionic Bonding Spray -> Ionic Bonding Spray
- ColorWOW Money Mist -> Money Mist
- After the description is accurately written and shows a good wording of what the product is go to the next step
- under make, this is where youll enter the brand like COlorWOW, Goldi Locks, Kenra ETC. depending on what product it is!
- Underneath that, in category, youll put if its Backbar, or Retail, typically its Retail & Backbar Product
- Underneath that, in Size, youll be putting the size of the item in OZ or FL OZ, depending on where its produced it may be in ML. Check the product for the Size of it

How to Set-up a 2 Card Split Payment
Steps on how to Set-up a 2 Card Split Payment
- Open the Ticket of the client needing to split payments
- Look for the "Tender" section on the bottom right of the pop-up
- Look for the name "Tender" underneath the name "Comment" on the payment part
- Enter the amount of the first card your looking to charge
- Then process the credit/debit card with that amount, and as the client does their thing to pay, it will ask you to press "ok" to continue a split payment, which this is where it will allow the secone payment
- Do the same thing from step 3-5, but for "Tender 2"
- You're done!
How to Settle a Cash Tip
Steps on how to Settle a Cash Tip
- When? When you are given the cash, and the client gives you the tip money, or you break up a bill for a tip
- On the tip section in daysmart, youll enter how much money they tipped in cash, then on the bottom of the pop-up there will be a Withhold/Settle buttom.
